Choose three must-have tasks. Keep your demonstration data fictional: a sales demonstration should not need participant names, health details or real case records. Ask to repeat the task yourself rather than relying only on a presentation.

Compare the full first-year cost
Ask each vendor to quote the same number of users and locations, the same billing cadence and the same required modules. Add onboarding, migration, training, integrations and any minimum commitment. Identify whether the quote includes GST. Record the renewal basis and the cost of retaining read-only access or obtaining an exit export.
Illustrative calculation: a fictional A$300 monthly quote plus A$900 setup is A$4,500 across 12 months before other charges. It cannot fairly be compared with a different vendor’s headline per-user price until users, inclusions, tax and term are aligned. These numbers are examples, not vendor prices.
Score demonstrated work, not the length of the feature list
Use the free scorecard below. For each criterion, select a weight from 1 to 3 and a result from 0 to 2: 0 means not demonstrated, 1 means partial or a workaround, and 2 means demonstrated for your example. The maximum is twice the sum of the weights. The result measures your chosen demo evidence, not product quality or compliance.
Keep mandatory requirements as separate gates. A high total cannot compensate for a failed essential export, access-control or operational requirement. Write down the unresolved condition before accepting a quote.
